Privacy Policy

MKAGE INC. (the “Company”) handles the personal information of users of the websites we operate and the services we provide (the “Services”) appropriately, in compliance with Japan's Act on the Protection of Personal Information and other applicable laws, and in accordance with the policy set out below.

1. Information we collect

When you contact us, we collect the information you provide, such as your name, email address, company or organization name, and the content of your inquiry.

When you apply for a role with us, we collect the information contained in your CV and related documents, such as your name, contact details, education and work history, and qualifications.

We may also automatically collect access logs, IP addresses, device and browser information, and browsing history when you use the Services.

2. Purposes of use

We use the personal information we collect within the scope of the following purposes.

(1) Responding to and following up on inquiries and requests

(2) Providing, operating, maintaining, and improving the Services

(3) Announcing new features and services, and contacting people who have registered their interest in advance

(4) Recruitment and related correspondence (and, for those who join us, personnel and labor administration)

(5) Preventing misuse and maintaining security

(6) Producing statistics (processed so that individuals cannot be identified)

(7) Complying with laws and regulations

We do not use personal information beyond the scope of these purposes, except with your prior consent or where permitted by law.

3. Provision to third parties and outsourcing

We do not provide personal information to third parties without your prior consent, except where required by law or where it is necessary to protect a person’s life, body, or property and obtaining consent is difficult.

We may outsource all or part of the handling of personal information to external providers within the scope necessary to achieve the purposes of use (for example, server hosting and email delivery). In such cases we select contractors carefully, impose security obligations by contract, and exercise necessary and appropriate supervision. Under Japanese law, such outsourcing does not constitute “provision to a third party.”

4. External services, cookies, and analytics

The Services use an external provider (Cloudflare, Inc.) for hosting and display optimization, and access logs are recorded on its servers.

We may also use Cloudflare Web Analytics to understand how the site is used. That analytics does not use cookies and performs no personal identification or cross-site tracking; the information sent is limited to aggregate statistics such as page URL, referrer, approximate region, and browser type, and is used solely to improve the site.

Our contact form uses Cloudflare Turnstile to prevent automated abuse.

You can disable cookies in your browser settings, though some features of the Services may then become unavailable.

5. Security control measures

We take the following measures to prevent the leakage, loss, or damage of personal information and otherwise to manage it securely.

(1) Basic policy: we have established this Privacy Policy to ensure the proper handling of personal information.

(2) Internal rules: we maintain internal rules setting out handling methods and responsible personnel at each stage — collection, use, storage, deletion, and outsourcing.

(3) Organizational measures: we designate a responsible person, monitor how personal information is handled, and maintain a structure for responding to incidents such as leakage.

(4) Personnel measures: we train directors and employees on handling personal information and enforce strict confidentiality obligations.

(5) Physical measures: we control the areas where personal information is handled and take steps to prevent theft or loss of devices and media.

(6) Technical measures: we limit access rights to the minimum necessary, encrypt communications, and employ safeguards against unauthorized access.

(7) Understanding the external environment: we handle personal data using servers located in the United States (Cloudflare, Inc.). We have examined that country’s personal data protection regime and implement the measures above accordingly. 6. Retention periods

We retain personal information only for as long as necessary to achieve the purposes of use, and delete it or render it non-identifiable without delay thereafter. In general:

· Inquiry records: three years from the completion of our response

· Recruitment records: one year from the end of the selection process (for those who join us, for the duration of employment and any period required by law)

· Access logs and similar data: up to one year from collection

Where retention is required by law, we retain the information for the period that law prescribes.

7. Response to data breaches

If personal information is leaked, lost, or damaged, or if we become aware of a risk of such an incident, we promptly investigate the facts and work to contain the impact and restore normal operation.

Where required by law, we report the incident to the Personal Information Protection Commission and notify affected individuals within the statutory time limits. We investigate the cause and put measures in place to prevent recurrence.

8. Requests for disclosure, correction, or deletion

You, or your authorized representative, may request notification of the purpose of use, disclosure, correction, addition or deletion, suspension of use or erasure, suspension of provision to third parties, and disclosure of third-party provision records, in respect of the personal data we hold about you.

How to make a request: please contact us by email at the address in Section 11. We will reply with the steps required.

Identity verification: we may ask you to provide a copy of a document confirming your identity. For requests made by a representative, please also provide a document confirming their authority.

Fees: there is no charge (other than actual costs such as postage, if you ask for a reply by post).

We respond without undue delay in accordance with the law. In some cases the law allows or requires us to decline a request in whole or in part; where that applies, we will explain this and the reasons for it.

9. Use by minors

If you are a minor, please use the Services and provide personal information only with the consent of a parent or guardian.

10. Changes to this policy

We may revise this policy in response to changes in laws or in our services. Any changes take effect when posted on this page. If we make a significant change, we will say so clearly on this page.
